What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

B J Miles Accident Repair Specialists operates as a retail business dealing with vehicle body repairs. Personal Data will be processed in line with the General Data Protection Regulations, Article 6(1)(f) and will only be used for its intended purpose and will not be stored longer than is necessary. B J Miles Accident Repair Specialists will only pass your details to a third party (such as an accident management company) with your consent. You may withdraw your consent at any time by contacting B J Miles Accident Repair Specialists.

Collection of Personal Data 

Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data). We may collect, use, store and transfer different kinds of personal data about you which we have grouped together follows:

Identity Data includes first name and last name.

Contact Data means the data we use to contact you including your billing address, delivery address, email address and telephone number.

Financial Data means the data we use to process your payments for your repair work including your payment card details. We do not store or process your card details ourselves, they are processed and stored via one of our contracted third party service providers.

Vehicle Data means make, model, vehicle registration number, VIN, paint colour code, year of manufacture, mileage, and photographic images.

Marketing and Communications Data includes your preferences in receiving marketing from us and your communication preferences, feedback and survey responses. In order to provide our services and for the other purposes set out in Use of Information below, we collect and process Personal Data from our clients, customers, suppliers and other users of our website, products and services. We may collect information from you such as, but not limited to, your name, email address, mailing address, phone numbers, payment information, vehicle make, model, registration number, chassis number, mileage, paint colour, insurance company details, insurance policy and claim number, your signature (“Personal Data“) in order for you to enter into a contract with us, and for us to perform that contract. It is not always necessary for us to request all of the Personal Data listed above in order to facilitate our services. Should you have objections we can advise you of why we are processing this data and who it will be shared with. In certain circumstances, you will need to provide us with more sensitive Personal Data (“Special Category Data“) which would be necessary in ordering a new number plate for your vehicle which would be shared with the number plate retailer. In this case, we would need a copy of your photo driving license and your V5C form. All copies obtained, paper or digital, are destroyed immediately after use.

Use of Information 
Your Personal Data may be used in the following ways:

  • To provide our services to you
  • To enhance and improve our services, for example, by obtaining customer satisfaction surveys and logging feedback

  • To process payments to you (including, but not limited to, refunds or reimbursements)

Retention Periods

In instances where your data is held under the lawful basis of Legitimate Interests, the deletion of Personal Data will be reviewed automatically where there has been a period of inactivity or non-communication of 18 months or more. This period of retention is subject to our review and alteration.

Sharing and Disclosure to Third Parties
We may disclose your Personal Data to third parties from time-to-time under the following circumstances:

  1. You request or authorise the disclosure of your personal details to a third party
  2. The information is disclosed as permitted by applicable law(s) and/or in order to comply with applicable law(s) (for example, to comply with a search warrant or court order).

It is likely that the identity and categories of such third parties will change during the life of your contact with us, depending on your use of our services, it is anticipated that your Personal Data will be disclosed to the following categories of third-party service providers who perform functions on our behalf. We require that our third-party service providers only use your Personal Data as necessary to provide the requested services to us and each service provider is subject to a set of terms consistent with this Privacy Policy.

  • Your insurance company, a third-party insurance company, insurance engineer or assessor, accident management company, vehicle parts retailer. Many insurance companies require images of claimant’s vehicle including shots showing vehicle registration number, chassis number and mileage for our contractual obligations
  • Legal and compliance consultants, such as external accountant, external auditors, or tax consultants for legal/financial obligations
  • Advertising partners, including social media providers, for the delivery of targeted advertisements for our legitimate interests in providing our customers with the best and most appropriate service
  • Marketing providers who send communications on our behalf regarding our services
  • Payment solution providers for the secure processing of payments
  • Debt collection agencies for unpaid invoices for our legitimate interests
  • It is possible we could sell our business to a third party or re-organise our business or become insolvent. In that scenario, we may need to share our database of customers with the third-party buyer and their advisers. This is in the legitimate interests of selling our business. We may also expand our group of companies and in this scenario we may share your data within our group in order to improve our products and services. This is in our legitimate interests of cost efficiency and growing our business. Where this occurs, we will post a link to all group companies and their locations in this Privacy Policy and they will use it in the ways set out in this Policy

We do not knowingly transfer your data internationally

Parents and Children 
We do not knowingly collect personal information from children under the age of 16.

Requests for Information

Requests for the copies of the information stored on you, can be obtained by emailing info@bjmiles.co.uk. Please note that we will not accept requests for information on individuals from third parties and we reserve the right to request ID in order to confirm your identity. B J Miles Accident Repair Specialists have the right to refuse or charge for requests for information where they are manifestly unfounded or excessive.

Requests for Erasure of Personal Data

Please clearly indicate in the email that you wish for your data to be removed from our database.

Where Personal Data is held in order for us to comply with a legal obligation, such as a contractual agreement, your data will be held until the contractual agreement ends and for a short period afterwards to cover any outstanding issues or queries that may arise. In these instances we will only retain the minimum amount of data required to meet our obligations, with the remaining data being deleted after the contractual obligation ends.

CCTV

CCTV surveillance is used outside and inside the premises. All staff are aware of the cameras. We have a sign for customers. They are there for security purposes, but may be used for monitoring staff performance.
